Initial Situation
The "Shake the Lake" summer event hosted by ti&m is a once-a-year event that draws numerous attendees eager to enjoy boat rides and lakeside activities. Unfortunately, the current organisational setup heavily relies on manual processes, creating significant overhead.
Customer data is collected at an information hut and written down by hand, leading to long wait times and increased potential for errors. Changes to boat schedules are also challenging to manage when just a small delay can have a big impact. Without a centralised system, rescheduling or notifying impacted customers about schedule changes is inefficient and often almost impossible to do, leading to confusion and dissatisfaction.
Overall, the reliance on pen-and-paper processes creates an administrative overhead that detracts from the overall event experience for both attendees and organisers.
Project Goal
Overall
The aim is to achieve an event experience that is uncomplicated and simple for attendees and the organisation committee. Achieving this goal will be done with a mobile app for attendees and a web application for the organisation committees administrative needs.
Mobile
Attendees will benefit from a user-friendly mobile app that simplifies the booking process, enabling them to easily select their preferred activities and time slots. The app will also send timely reminders and updates ensuring that the attendees are informed about their schedules and any changes in it.
Web App
The organisation committee will have access to a web app designed to optimise administrative planning. This platform will allow organisers to send custom notifications to attendees, add manual bookings for customers without access to the mobile app and reschedule time slots efficiently. By centralising and automating key processes, the system will significantly reduce manual overhead while enhancing the overall experience for both attendees and organisers.

Event overview
This is the event overview page for the organisation committee. All basic event information is shown on this page and it can be edited here. This includes QR-Access-Codes for the mobile application.
Schedule
In the schedule view the organisation committee can see which boats exist and which time slots are available. The time slots can be opened in a detail-view via clicking on them. There, committee members will find direct links to create new bookings for this slot.
Activities
The committee can create, delete and edit activities with ease.
Boats
Each lake activity requires a boat to transport the participants. Each boat is rented for a given amount of time, in which bookable time slots are available.
Bookings
Create and change bookings manually for attendees who do not have mobile access.
Mobile application
Simple flow to book a ride
The event attendee starts at the landing page of the mobile app. They have to scan a valid event QR-Code in order to access the event.
The attendee can book themselves into an activity with ease on their own mobile phone and their already provided login data.

This has been streamlined by having one centralised location that sends notifications out to the attendees, so there's less need to chase after stragglers.
