Planning Support

Simplify the chaos: effortless planning for hospital success

Problem statement

The Institute for Anesthesia at the University Hospital in Zurich currently faces challenges in its shift planning workflow. The existing process is characterized by a fragmented system landscape, predominantly comprising basic Excel files enriched with VBA scripts and formulas. Unfortunately, these disparate systems lack effective interfaces, leading to significant inefficiencies in data transfer. The absence of streamlined connections results in a heavy reliance on manual labor to bridge the gaps between these systems, contributing to operational complexities and potential errors in shift planning.

Project Goal

With our cutting-edge 'Planning Support' software, we aspire to elevate the operational efficiency of shift planning in hospitals. Our journey commences by streamlining the meticulous orchestration of employee absences and holidays, seamlessly transitioning into the meticulous coordination of assistant doctors' rotations, and culminating in the sophisticated orchestration of the shift planning process.

Employees

Employee overview page of our software

Here are all our all employees which have an account for the planning support application. The planner can add new employees and edit or deactivate existing ones.

Absences

Absence form to sumbit absence requests

In this form the user can create absence requests (like holidays, military or further absences) and the planner will then be able to accept or reject these requests.

Rotations

The planner manages the rotations of the employees and has the overview to quickly see which rotationplace is occupied by which employee in a certain timeframe (usually blocks of 6 months).

Developed Solution and its benefit

The planning support web application digitalises employee management as well as absence and rotation planning. This means that the work processes between HR, the shift planner and the employees are centralised in one place, instead of all communication taking place by e-mail as was previously the case.

This is what makes our software special:

In general:
  • Modern and simple user interface for intuitive use of the application
  • Further languages to translate the page can be configured to make it accessible in mutlilingual regions
  • Notification system about absence requests within the application
For shift planners:
  • Centralized overview of all assistant doctors and their information
  • Possibility to consider new employees for planning even before they join the company
  • Notifications directly within the app insted of countless e-mails
  • Easily modifying absence requests of their employees with regard to current workload
  • Planning long-term rotations of assistant doctors with respect to their education
  • Customizable absence types and academic degrees to match the needs of the company
For employees:
  • Requesting their absences easily with all necessary information and without e-mails
  • More transparent workflow with reasoning why absences are accepted or rejected
  • Absence overview is always accessible and contains relevant information
Testimonial
«A big thank you to the students of the computer science course at the University of Applied Sciences Northwestern Switzerland, who have innovatively and energetically developed a program to facilitate absence planning in a large company. The aim was to eliminate email traffic and to create a clear and transparent absence planning system for employees. It was an exciting and inspiring collaboration. The motivated team responded well to the wishes and sometimes complex requirements and implemented them creatively. Working with the team on such a project was an interesting and enriching experience for me, and I would definitely do it again.»
