We helped our customer eliminate manual Excel file handling and upgrade to a more secure and error-proof contract management system.

Initial Situation/Problem statement

Tradeware orchestrates their Oracle order and contract management process in a highly intricate manner, with a single individual managing PDF, OKS, and Excel files. The absence of this individual and their expertise would render the entire process nonfunctional, given the lack of standardized procedures. Each contract carries the potential for varied handling, fostering numerous opportunities for human error in what is a notably inefficient, complicated, and manual undertaking.

Project Goal

We, The License Maintenance team, endeavored to create a tool facilitating access for multiple individuals to upload, edit, and generate contracts. The tool further enabled the seamless merging of contracts with the click of a button, streamlining the intricate process of managing diverse contracts originating from Oracle. Additionally, we aimed to create a report listing contracts per customer, offering an overview for customer distribution.

With this solution in place, Tradeware can involve more individuals directly in the contract management process, alleviating the workload on the existing contract manager. The solution streamlines information flow among engineers, sales, and contract management by providing access to the tool, offering insights into customer details, items, and contract timelines.

It automates and digitizes various facets of the process, eliminating the need for local Excel edits or manual merging. Contracts can now be effortlessly uploaded, edited, merged, and archived within the tool and its database.

The system incorporates notifications and alerts to diminish the likelihood of human error, supporting the sales team in proactively reaching out to customers before contract expiration. Additionally, an audit trail enhances accountability and transparency throughout the process, for a more future oriented, scalable Tradeware.
